1. Who we are
Inquirx Ltd ("Inquirx", "we", "us", "our") is a company registered in England & Wales (Company No. 07789192). We are an ICAEW Chartered Accountancy practice and act as the data controller for the personal information we hold about you.

2. The information we collect
To provide accountancy, tax and advisory services we may collect and process the following categories of personal data:
- Identity data: name, date of birth, photo ID and proof of address (for AML/KYC checks under the Money Laundering Regulations 2017).
- Contact data: email address, phone number, postal address.
- Financial data: bank details, income and expense records, invoices, payroll data, pension information, NI and UTR numbers.
- Tax data: HMRC references, prior tax returns, correspondence with HMRC and Companies House.
- Business data: company registration details, shareholder/director details, contracts and working practices.
- Technical data: IP address, browser type and basic analytics from this website.
- Communications: messages you send us by email, WhatsApp, phone or our contact forms.
3. How we use your information
We use your personal data on the following lawful bases:
- Contract: to deliver the accountancy and tax services you have engaged us for.
- Legal obligation: to comply with HMRC, Companies House, ICAEW, AML and tax legislation, including statutory record-keeping for at least six years.
- Legitimate interests: to manage our practice, prevent fraud, improve our services and respond to your enquiries.
- Consent: for optional marketing communications, which you can withdraw at any time.
4. Sharing your information
We will never sell your personal data. We only share it with:
- HMRC, Companies House and other UK regulators where required by law.
- Our cloud accounting and bookkeeping providers (e.g. Xero, QuickBooks, FreeAgent) used to deliver your services.
- Our IT, hosting, email and secure document-exchange providers, all bound by written data-processing agreements.
- The ICAEW or other professional bodies in the event of a regulatory review or audit.
- Law enforcement or courts where we are legally compelled to do so.
5. International transfers
Some of our service providers process data outside the UK. Where this happens, we rely on UK adequacy regulations, the UK International Data Transfer Agreement, or Standard Contractual Clauses to ensure your data receives an equivalent level of protection.
6. How long we keep your information
We retain your records for as long as you are a client and for a minimum of six years after the end of our engagement, in line with HMRC, Companies Act 2006 and AML retention requirements. After that, we securely delete or anonymise your data unless we are legally required to keep it for longer.
7. How we protect your information
We apply appropriate technical and organisational measures to keep your data secure, including encrypted transmission, access controls, MFA on critical systems, secure UK/EU-based cloud storage, and regular review of our suppliers' security posture. Staff and contractors are bound by confidentiality obligations and the ICAEW Code of Ethics.
8. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate or incomplete data.
- Request erasure where we no longer have a lawful basis to hold it.
- Restrict or object to certain processing.
- Request a copy of your data in a portable format.
- Withdraw consent for any processing based on consent.
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

10. Changes to this policy
We may update this policy from time to time to reflect changes in law or our practice. The "Last updated" date at the top of this page indicates when it was last revised. Material changes will be communicated to existing clients by email.
